1) The four parts

A strong PD2 reply has four parts: opening → reason → request or information → closing.
  • Kære …
  • Tak for din besked.
  • Jeg kan desværre ikke …, fordi …
  • Kan vi finde en anden løsning?
  • Med venlig hilsen

2) Register

Use polite, complete sentences. Avoid chat abbreviations. Answer every part of the prompt, even when the answer is short.
  • Jeg vil gerne bekræfte …
  • Jeg er nødt til at …
  • Jeg vil derfor gerne foreslå …
  • Jeg håber, at det kan lade sig gøre.

3) Check the task

Before submitting, check: Did you answer who, what, when, and why? Did you use a greeting and closing? Did you connect the reason with fordi or derfor?

4) Writing tip

Keep the message easy to scan. One clear idea per sentence is better than a long sentence with missing information.
